How vendor coordination works

To host an event, you must hire a coordinator, caterer, and bar service from our preferred vendors list and secure a personal event insurance policy. This keeps event days running smoothly with vendors who already know the space and each other.

Booking & Process

Hours, response time, and how booking works.

Hours of Operation

Standard rental window: 10:00 AM to 11:00 PM, with a hard-out time requiring all guests and vendors to vacate. Extended hours (until midnight) available for an additional fee.

NEEDS INPUT Confirm exact extension fee per hour. Doc range was $100–$500/hr — pick one to publish.

Response Times

Initial inquiries: within 24 hours.
Vendor approvals (insurance certificates, TABC licenses): 5–7 business days for review.

Day-of Timeline

Your venue rental includes a set number of hours for setup (typically 2 hours) and teardown (typically 1 hour) in addition to your event window.

Deposit & Cancellation

A non-refundable deposit secures your date. NEEDS INPUT Confirm exact deposit % (industry-typical: 25–50% of total rental).

Cancellation refund schedule (subject to confirmation):
90+ days out: 75% refund minus deposit
60–89 days out: 50% refund minus deposit
Inside 30 days: no refund

Alcohol & TABC

Texas alcohol service, done right.

Everyday Life Events & Design strictly adheres to all Texas Alcoholic Beverage Commission (TABC) regulations.

Licensed bartender required

All alcohol must be served by a TABC-certified bartender. We can recommend a bar service from our preferred vendors list.

Bar options

BYOB: Venue provides the space and bartender; client provides the alcohol.
Cash bar: Guests pay per drink.

Cut-off time

Alcohol service stops 30 minutes before the event ends — this gives guests time to wind down before the hard-out.

Liquor liability insurance

Host Liquor Liability coverage is required (often included as part of a special event insurance policy).

Insurance Requirements

General Liability coverage

Minimum: $1,000,000 per occurrence with a $2,000,000 aggregate limit.

Additional Insured: Everyday Life Events & Design must be named as an Additional Insured on the policy.

Certificate of Insurance (COI): Must be provided 7–14 days prior to the event.

Step-free routes connecting all public areas. 36-inch minimum aisle widths for wheelchair maneuverability. Doors with 32-inch clear opening and easy-to-operate hardware.
